DraftMinutes of Board of Directors Meeting held at Lorna and Richard’s
June26, 2006, 6:00 p.m. – 10:00 p.m. Attendees:

Minutes of 9 March 2006 meeting wereapproved by Karen and seconded by Cherie. Minutes will be posted on the Website by Lorna Guttormson.
2. Treasurer’s Report (Karen)
B meets and the Adventure Run brought in$4400. A-Meet revenues were $3400. Funds will be invested in a money marketfund.
3. Membership (Steve B)
77% of last year’s membership renewed thisyear. The Capital O is being sent to only the membership.
Whenregistering people for a meet, kindly ensure that people are aware of the tickoff box for volunteering.
4. Spring Meets/Activities – Review(successes, improvements)
a. New registration procedures(Lorna/Linda)
Having a registration team is working well,with pre-registration progressing. Many years ago, the NCC provided the wordingfor the OOC waiver. Signing the waiver at each meet is part of current registrationprocedures. It was suggested that the Meet Director help to find volunteers forthe registration process or to greet people.
b. Junior Program (Cherie)
10 juniors have been identified andattended training spring sessions. Profit for the program was $180. $400 willgo to club shirts for the juniors.
c. Beginner Clinic (Richard)
Catherine Edgar & Rorry Hardingorganized a beginner clinic on Wednesday night. Michael Haynes, and Lorna andRichard Guttormson helped with coaching.
d. Adventure Run (Cherie)
The Adventure Run had revenue of $2K with40 teams taking part and attracting trail runners, orienteers and adventurerunners.
e. Training Camp – Intermediate clinic(Stefan)
Debra Watt was the major logisticsorganizer and did a fabulous job allowing the coaches (Cherie, Randy andStefan) to focus on the orienteering. Plans are to continue the format usedthis year, in 2007. 26 people attendedtraining camp.
Anarmchair session, possibly in the Winter was suggested for beginners.
f. ‘B’ meets (Richard)
Four B meets were held this Spring. Twowere successfully put on by first time meet directors Frederic Bedard and RobAnderson.
Registration at B meets this year issomewhat lower than last year. A fall schedule will be worked out over the nextmonth.
g. Eastern Canadian Championships (Bill A)
115 participants, three event format andtwo of the three events were in one area.
There were no DNFs. Five sponsors; World ofMaps, Lafleur de la Capitale, Camp de Base and Axis Gear and Jordash Jeans provided.In total $500 in cash and prizes were provided by sponsors.
h. Summer Solstice (Richard)
Finale for the Summer solstice will be June27th at the Nepean Sportsplex.
5. SportIdent & OOI (Bert)
One station was accidentally lost duringthe training session. (The station was subsequently found by Bill Meldrum, inAugust.) The funds, from the rental of SI cards is intended to be used toreplace lost or stolen equipment. Registration is simpler for those members whoown an SI card. The power supply is being worked on. COCs 2006 might use theOOC equipment. Arrangements are being made to transport the equipment to theCOC organizer. Bert, David Agar, Isabelle Robert, Lorna and Richard haveexperience with the Sport Ident system.
6.Orienteering Quebec (Randy)
a. OQ Board meeting May 21
No fee increases are anticipated. Funds forfuture mapping were discussed. OQ agrees to lending funds to OOC but the ideaof a grant met with resistance. The OQ focus for their bank of funds ismapping.
b. request to OQ for Sedbergh map
It has been determined by Bill A and Bill Mthat approximately 3.5 sq km would be useable for orienteering at Sedbergh. 1sqkm of the total 4.5 sq km was found to be unsuitable for orienteering becauseit is considered very dark green.
BillMeldrum agreed to write a letter to OQ requesting $2800 to map Sedbergh.
7. Women onSkis request (Lorna)
It was agreedby all that the phone line for OOC could be used in January, February and Marchby the Women on Skis if Women on Skis covers the cost while it is using theline.
8.Events/training for outside groups (Bill M)
If a personputs on an event other than an orienteering event they are not insured byOrienteering Canada. OOC has no insurance for special events beyond OOC events.
9. COC’s 2008(Bill M)
The COCs for2008 are still searching for a site. In 2007 the COCs will be in Saskatoon. Adecision on the 2008 venue should be taken in the fall.
10. Mapping(Bill A)
Maps will beready to be worked on in the fall for Nakkertok, March Highlands and MontTremblant. Sterling Maps is working on these. The Mont Tremblant map is notintended for the OOC. Stefan is working on the Timm Drive map and on a Sprintevent map for Kanata. The Cartographic Society has developed a map of theUniversity of Ottawa Campus.
In the Fall, the Board should re-visit whether amap would be available for the 2008 COCs.
Volunteers for mapping are asked to identifythemselves to Bill Anderson or Bill Meldrum
11. FallSchedule (Richard)
A Farstaevent, or a one person relay is proposed for Constance Bay 10 Sept 2006.
October 21sta Rogain is being put on by Frederic Bedard.
Plans are toperhaps have a sprint event this summer. The news group will be used toadvertise this.
September 23Cortland New York will be hosting an orienteering event.
Plans are toput on a Scouts Adventure Run at Charleston Lake on October 28 & 29.
It was moved by all that for a sprint meet, a flatfee of $5 per entry will apply.
12.Volunteers (Bill M)
Meetdirectors and controllers should be recognized if they are not already, on thebrochure and the Web site. Volunteers should be mentioned on the Web site ifthey are not already. A name tag might be worn by directors and controllers atthe event.
Blank maps of the day’s event should be madeavailable to the registrars to help beginners at meets.
13. ClubShirts (Cherie)
10 shirtswill be ordered for the juniors with the price of $35 - $40.
14. OtherBusiness
A time should be announced at each meet identifyingwhen the course will close and when controls can begin to be collected. ForSunday meets the time will be 14:00 hours. Richard agreed to communicate thisto meet directors.
Safety bearings should appear on the map or beidentified with the control descriptions.
